Whitetail Exchange Problems 1-18-12



First let me start out by apologizing for what happened tonight. I know that there are a lot of people out there that are mad at us. I know that there are a lot of people out there that are disappointed in us. I will tell you that it is next to impossible to For anyone to be any more upset and disappointed right now than I am. I have poured by blood sweat and tears into this company for three plus years. It is my pride and joy. Tonight I am embarrassed and very disappointed.



At the point that we were so flooded with users on the site and the site slowed to a crawl, Richard and I were trying everything and anything to get it going. That is where some of you saw the site go into maintenance mode. That worked a little bit, but as soon as we took it out, the load went right back up. At that point, I had to make a decision.



I had to decide what was the fairest thing to everyone. What was fairest to the great people that gave such great consignments. What was fair to the people that bid so much money and to the people that were getting ready to bid more? I had to make a decision. Like me, love me or hate me, but the decision I made was to suspend all of the auctions that had not ended yet. To me, that was the fairest thing to do for everyone. I just couldn’t let them end with the system not working correctly.



We are about 95% sure that we know why this is happening now. Many of you have seen how our auction sniping software works. When someone bids with less than 5 minutes to go, it extends the auction out 5 minutes. This is the culprit. At this point, I just don’t see how we can continue to offer that feature. I would like to get everyones input and thoughts on eliminating that feature.



Here is what I was thinking and once again I would like everyones opinion. I would like to work 24/7 until next week to get everything reset and try this over on the 25th. I understand if a consignor would like to pull out and I really don’t blame them. This is why I stopped the auction so the bids would be preserved and not lost. We will have to run it without the sniping feature and will more than likely never have that feature again.



I will also be personally calling anyone that got a successful purchase email for the auctions that ended at 9:00, 9:15 and 9:30 and explaining that we have to resell those items if the consignor so chooses.



I am not a big one on promises and guarantees. But I am going to put one out there for everyone. I promise that we WILL get this fixed. We will do whatever it takes to get this going RIGHT or not do it at all. Too many people have trusted us with too many great consignments over the years to do things half way. Whatever it costs, whatever it takes, I am willing to do it to get this straightened out.



Once again, I would like to apologize. I am embarrassed, I am humiliated and I am very sorry.

Well Todd.....I am grateful for whitetail exchange and the last thing I want to see is it gone! you and the Applecreek crew work your butts off and I know this is the last thing you wanted to happen......I hope everyone can understand and except your professional

Apology and we can all move on......You made a hard decision tonight but I feel it was the fairest decision you could make for everyone involved. I wish the best for you guys and I know you will have this up and running good in no time!!
 
Todd maybe you can still do the 5 minute thing if you dont have so many going at the same time.. Maybe have 5 or 10 special lots each week and list them as such. I believe the 5 minute deal is a good thing and keeps people honest and on their toes. Either way you guys will figure it out and make it work for everyone. Also you might be able to do a weekly farm special.. That would be a farm that would put up say 3 to 5 lots on each week and run those lots as that farms specials of the week. Then you would have a waiting list of farms that would want the next week farm special lots. That would be along with the normal no reserve lots. That would help some farms get some air time also and show what kind of animals they have to offer Just thinkin of some ways to get everybody involved!!
 
I don't know what else I can add to Todd's comment other then I am equally humbled and embarrassed by the performance of the site tonight.



This is a technical issue and we will work 24/7 to fix the bidding code based on the data reviewed from our system log files.

Technology can be your best friend or your worst enemy. I've been in IT for almost 25 years and know this story all too well. I'm sure you guys will get this resolved and determine the best path forward. In a few weeks the issue will be a distant memory.

Keep your head up Todd, and run the site the way you see fit to best complete the sales. Whatever way you choose is fine. With the 5 minute feature or without it makes no difference at all. Just spell it out before hand and then everyone knows the rules from that point forward. The end
 
I believe the 5 minute thing is good but I also believe that if it were gone it would certainly make bidders place a much higher proxy thus increasing the lots sale price, just like Ebay but the other side is could take some bidders out. I am with Roger pal, do it as you need to and just explaine it in the rules for everyone to see.
 
I would be very careful about that!



If you take out the 5 minute rule, you better be sure that it is the culprit or it will be a "Catch 22" next time. While that may be causing it to slow down, it also is the tool that lets you in if it gets slow.



If you take it out and it slows down the least bit, you will have bidders that miss out! Like on ebay, the ones with the superfast connections will swoop in at the end. I know we all can say that we should all use proxy bidding but I know from experience that by nature, it just won't happen the way it should.



People think "I'm not going any higher", then someone comes in and outbids them and then they go "Darn it, I'm going to hit it again". And then they end up bidding more than any proxy bid would have. Without the extension, the auction is OVER! Good or bad that's reality. Its why the live auctions make you scratch your head. Two people get into a bidding match. And the auctioneer won't end it until someone gives up!



I would make sure you are 100% sure that's the problem before I removed it and tried again. It is a VERY GOOD FEATURE, and almost all good online auctions have it now. You also better make sure that you install a better countdown that's lets people know seconds instead of just minutes.



IT MIGHT HELP THE SPEED BUT IT WILL HURT THE SELLERS PRICES. How much is hard to say.



Is it possible to make the extension only 3 minutes or less? If the site is running ok, that is usually enough time to re-bid. I think you should look for other solutions.

Please know that we appreciate everything you do. Stuff happens, and you obviously wish things would have gone differently last night. Time to move on.

Try try and try again thats the only way to get the bugs worked out. Stopping the sale and giving everyone a chance to resale their lots was the best thing you could have done due to the circumstances. Keep on trying don't give up this is the best auction we have goin. It gives lots more people a chance to buy and sell that would not normaly be able to.
 
Once again, I would like to apologize to everyone for last nights auction. I really appreciate all the responses to this post as well as the many emails showing support. I guess what this all comes down to is that we need to get better and smarter. We have identified one or two problems that we can fix. You may see periods that the web site is down over the next couple of days while we address those concerns.



We are pulling out all the stops for next week. We will spend the time and money necessary to attempt to get things right for the 25th.



We do believe at this time that we are going to be able to save the Sniping feature. Not 100%, but about 90%. I think this is a very key feature to the site and we will do everything within our powers to save it.



I guess what happened here is kind of like our folks used to say to us “You’ve outgrown your britches” Last night, 30 minutes before the auction even started, we broke our record for the most logged in users on the site at one time. We had 195 users logged in. Through our stats we have determined that 1 in 5 people are logged in on the site. This means that nearly 1000 people were there and the software just didn’t handle it. We already have everything in place to update the software on the site that should handle the traffic. This is where you might see some outages on the site over the next 4-5 days.

Great idea........set up a test auction ......set the date and we can all flood the site and see if it can handle it...........I might even win the auction that night!! LOL!!

Dang Sam, I am with you on that one, I would love to know what it feels like to bid $15,000.00 or higher on a lot, LOL, sounds like fun to me.
 
$15000 on a test auction where we encourage rapid bidding, are you nuts? You wont be able touch anything in that auction for $15000

Todd I have seen some sites that just let the last 2 bidders bidd on the item after the last 5 minutes and cuts the rest of the bidders out that may be something to consider.
